The challenge:

Rompetrol Moldova (MD), one of the most important players in the energy sector in the region, needed a learning platform in a learning management system (LMS) to support the continuous development of its employees. This platform had to be accessible in two languages, Romanian and Russian, and work on any device, from desktops to mobile devices, to provide flexibility in accessing courses. A critical aspect of the challenge was that many of the platform's users were unfamiliar with digital technology, and some did not have email addresses, which imposed the need for an email-free user authentication and management solution. The main goal of the project was to significantly reduce the time required for employee training, streamline the company's internal processes, and increase both the retention and recruitment of new talent by providing a modern and accessible learning environment.


The solution:


Our team at Active Digital, has developed an advanced and customized LMS platform for Rompetrol MD, taking into account all specific requirements and challenges. The platform has been designed to be as intuitive and user-friendly as possible, even for those with limited technological experience. Key features include:

Bilingual Interface- The platform supports both Romanian and Russian, allowing users to choose their preferred language when logging in.

Multi-Device Accessibility- Responsive design ensures that the platform can be accessed from any device, providing a consistent user experience.

Creating and Managing Courses- Users can create, edit and manage courses with various types of content: videos, PDF documents, presentations, interactive quizzes and forum discussions.

User Management Without Email- We have implemented an innovative user authentication and management system based on a unique ID generated by the platform, which does not require an email address. Administrators can safely manage these IDs.

Setting Roles and Permissions- The platform allows the assignment of different roles (learner, instructor, administrator) with specific permissions, ensuring control over access to content and functionalities.

Grouping by Departments- Employees can be organized into groups based on departments, facilitating the distribution of relevant courses for each area of activity.

Tests and Assessments- The system includes the ability to create tests with various question formats (multiple choice, true/false, short answer, essay), automatic assessments and instant feedback.

Extensive Digital Library- We have integrated a digital library of more than 3000 works, including books, articles and technical guides, accessible to all users to expand learning resources.

Reporting and Analysis- The platform provides detailed reports on learning progress, course attendance, test results and other metrics to monitor the effectiveness of training programs.

Technical Support and Training- We have provided training sessions for administrators and ongoing technical support to ensure a smooth transition and efficient use of the platform.



Implementation:


The LMS platform implementation process for Rompetrol MD was carried out in a structured and phased manner, given the complexity of the project and the need to ensure a smooth transition for all users, including those least familiar with the technology.

Analysis and Initial Planning- Before the start of development, we conducted a detailed analysis of the specific needs of Rompetrol MD, discussing with different departments to understand their unique requirements. We planned the architecture of the platform, taking into account scalability, security and ease of use.

Development phase- The development of the platform was carried out in a controlled environment, where we built the basic functionalities such as the bilingual interface, the email authentication system, and the infrastructure for managing courses and users. We integrated modern technologies to ensure multi-device compatibility and built the digital library with access to extensive resources.

Beta Testing with Pilot Group- We have launched a beta version of the platform to a pilot group of employees from various departments, selected to represent diversity of use and levels of technical competence. This group tested the platform for a month, providing valuable feedback on ease of use, interface intuitiveness and possible technical issues.

Adjustments and Optimizations- Based on the feedback received, we made adjustments to the interface design to improve navigation and accessibility. We also optimized the performance of the platform to ensure a smooth experience across all devices, and resolved technical issues identified in the testing phase.

Training for Administrators- We have organized extensive training sessions for the designated administrators of the platform. These sessions covered user management, course creation and administration, use of performance reports, and digital library management. The training included both hands-on sessions and reference materials to ensure that administrators are fully prepared to manage the platform.

Full Launch and Continuous Support- After completing the adjustments and training, we launched the platform at the company level. We have provided training materials for all employees, including visual guides and tutorial videos, to facilitate familiarization with the platform. We have also established a dedicated technical support system, available 24/7, to promptly respond to any questions or technical problems that arise during use.

Continuous Monitoring and Feedback- Post-launch, we implemented a monitoring system to track platform usage, user feedback and course effectiveness. This continuous feedback has allowed us to make further adjustments and add new functionality according to the emerging needs of the company.
